How to Build a Wholesale Buying Shortlist on Faire

Turn a large wholesale catalog into a focused Faire shortlist by using store-fit filters, theme groups, display roles, current terms, and a final duplicate check.

  1. Write the buying brief first
  2. First pass: save plausible candidates
  3. Second pass: assign every item a role
  4. Third pass: check current commercial details
  5. Final duplicate check
  6. Build your shortlist in our Faire shop

The short answer: shortlist in passes. Save broadly enough to compare, then remove anything without a clear customer, theme, or display role. The final list should be easier to explain than the full catalog and small enough to review item by item before checkout.

Write the buying brief first

Before opening the catalog, record:

  • Store type and target customer
  • Display format and visible positions
  • Two or three subject or style groups
  • Preferred size range
  • Available storage
  • Floor date and budget ceiling

This brief is the filter. A product can be attractive and still be wrong for the current buy.

First pass: save plausible candidates

Use Faire's catalog and organizational tools to collect designs that fit the brief. Faire's retailer guide describes Boards as a way to save brands and products while building an internal collection. Keep the first pass somewhat generous; its job is to prevent good candidates from disappearing while you compare.

Do not place the order during the discovery pass. Separating discovery from selection reduces duplicate themes and impulse depth.

Save a strong anchor candidate with the intended theme and display role in mind, not only because the individual image is striking.

Second pass: assign every item a role

Role Question
Anchor Will this earn attention from the aisle or entry?
Companion Does this make a theme more complete and easier to buy?
Contrast Does it add a useful difference in color, orientation, or subject?
Test What specific customer behavior are we trying to learn?

Remove products that duplicate another item without adding a clearer role. Protect the few designs that make the group understandable.

A fast way to test whether the shortlist has useful range is to compare designs with visibly different jobs. A detailed, geometric 16th-century astrolabe print can serve as a graphic focal point, while the spare silhouette and open ground of Bill Traylor's Spotted Bull creates a quieter folk-art counterpoint. Choose either only if its role fits the brief; the point is useful contrast, not collecting unrelated subjects.

Third pass: check current commercial details

Open each current listing and confirm size, wholesale price, minimums, availability, estimated delivery, and any account-specific terms. Faire states that eligible retailers can access benefits such as payment terms and opening-order returns, while referral offers vary by eligibility and sign-up flow. Use what your account shows now.

Check the total cart against the display and storage plan—not only the budget. Inventory that has no visible or protected place is not ready to order.

Final duplicate check

  • Are several designs doing the same visual job?
  • Does every theme have an anchor and at least one companion?
  • Are sizes compatible with the fixture?
  • Can staff explain each group in twenty seconds?
  • Is there a receiving and review date?

Save the final shortlist or cart record in the system your buyer will use for reordering. The goal is not only to make a good first buy; it is to make the next decision easier.
