A Seasonal Art Print Buying Calendar for Gift Shops

Build the buying calendar backward from the date the display needs to be on the floor. Put receiving, checking, labeling and display preparation ahead of that date, then work back through the supplier’s current fulfillment and transit estimate. A seasonal calendar is useful only if it includes the work between placing an order and making the prints available to shoppers.

Shopify’s category-planning guide connects assortment choices to the periods when customers will see and buy them. For a small art-print edit, the practical version is one floor date, a defined customer story, a manageable quantity, and a review point before the season has passed.

Start with three dates you control

  • Floor date: when the priced, protected assortment should be ready to browse.
  • Decision date: when you will evaluate early evidence and decide whether to replenish, rotate or hold.
  • Exit date: when the seasonal position changes and remaining stock needs another plan.

Choose dates from your actual store calendar, events and selling history. A museum exhibition, graduation period or neighborhood shopping event may matter more than a national holiday. Keep a year-round core visible if it serves customers beyond the seasonal story.

A backward-planning worksheet

Do not fill the arrival line with a lead time remembered from last season. Confirm the current estimate for the exact order and destination. A supplier’s dispatch estimate and arrival at your store are different milestones.

An illustrative calendar, not a supplier promise

Suppose a store chooses Thursday, December 3 as its floor date. It reserves November 30–December 2 for receiving checks, labeling and setup, and wants goods in hand by November 27. These are hypothetical internal planning choices, not recommended universal buffers or RPS delivery commitments.

The order date cannot be responsibly filled in until the buyer has a current fulfillment and transit estimate. Work back from November 27 using that estimate and a buffer appropriate to the store’s constraints. If the resulting order date has already passed, change the assortment or floor date after discussing current options; do not keep an impossible calendar because the spreadsheet looks tidy.

Give each season a distinct buying question

This is a planning framework, not a forecast of which art will sell. Use the holiday-assortment guide for the size of that particular test, and the width-versus-depth guide when deciding between new designs and reserve units.

Set the reorder cutoff before the first order

At the decision date, compare units sold with the time the design was actually available. Check the current replenishment estimate against the remaining selling window. A print may deserve another order for the permanent assortment while no longer fitting the seasonal position; record which decision you are making.

Keep a dated note on the reorder worksheet: what was visible, what sold, what remained and what changed. Check current RPS options through the wholesale overview or RPS Faire shop. The calendar should make the next decision timely, with enough evidence to change the plan.
